How to Prepare for the Signing
These guidelines are for individuals who are signing documentation presented by the notary signing agent on behalf of another party. Much of the same applies to clients who contact the agent directly.
The notary signing agent will reach out to you upon receiving the appointment. They will confirm the date and time for the meeting. The address of the signing will also be confirmed.
They will ask for you to get your unexpired government issued photo identification and read the expiration date over the phone to verify that it is valid.
The Signer's Role
1. Before the notary signing agent arrives, please:
a. completely clear a table and set up enough chairs that the signers will be on one side of the table (if the table is not round). Place one chair on the other side of the table for the agent.
b. make sure the room where the signing will occur is is well lit.
c. silence phones (upon agent arrival), turn off background noise, such as televisions and stereos.
d. have glasses ready if they are required for reading
2. All clients who will sign the document(s) must present with their unexpired government issued photo identification. Please have it ready to show the signing agent.
The Notary Signing Agent's Role
1. Please note that the agent's sole responsibility is to provide signing services connected with the transaction and cannot answer specific questions about the transaction or the legal effect of closing documents.
2. The agent is limited to the questions that they may answer. The only “answer” to any question will be the provision in the document that may answer the question or they will refer the individual to the contracting company’s representative.
Presenting and Notarizing the Documents
This is one of the most important steps in the entire signing timeline. The agent will provide an overview and instructions for signing the documents, and check IDs for all parties.
As the agent presents documents, they will read each title, describe both the documents’ purpose and signing requirements, and obtain any and all needed signatures.
The agent will then notarize the documents and perform a quality check once all documents are completed before leaving the appointment.
